Welcome to Wellcare Health. These Terms and Conditions (“Terms”) govern the relationship between Wellcare Health (“we,” “us,” “our,” or the “Practice”) and the individual utilising our services, website, or portal (“you,” “your,” or the “Client”).

By booking an appointment, completing a referral form, or using our website, you agree to be bound by these Terms. Please read them carefully before commencing any clinical services with us.

1. Clinical Services & Scope of Practice

1.1 Wellcare Health provides professional clinical psychology, neurodevelopmental diagnostic assessments (including Autism and ADHD pathways), therapeutic support, and training/consultation services. 1.2 Our diagnostic assessments follow strict multi-disciplinary team (MDT) reviews and gold-standard clinical guidelines. However, a formal assessment does not guarantee a specific diagnostic outcome. The final outcome is strictly based on clinical evidence and professional judgment. 1.3 We are a private, planned care clinical service. We do not provide an emergency, out-of-hours, or immediate crisis management service. If you or a loved one are experiencing a psychiatric or medical emergency, you must utilise public emergency services (such as calling 999 or 111, or attending the nearest Accident & Emergency department).

2. Intake & Referral Process

2.1 To initiate an assessment or therapeutic pathway, clients (or their legal guardians) must complete our secure online intake/referral form honestly and comprehensively. 2.2 We reserve the right to decline a referral if, following clinical review, we determine that our service is not the most appropriate or safe environment to meet your specific clinical or risk-management needs.

3. Fees, Payments, and Financial Structure

3.1 Two-Stage Assessment Pricing: Our neurodevelopmental assessment pathways are explicitly broken down into two distinct financial stages to offer total transparency:

  • Stage 1 (Clinical Screening): A fixed fee of £350 is due at the time of booking to secure your initial consultation.

  • Stage 2 (Full Clinical Assessment): If, following the Stage 1 screening, both you and your clinical lead agree to proceed to a full diagnostic pathway, the remaining balance for that specific pathway (e.g., Autism, ADHD, or Combined) becomes due. 3.2 Payment Terms: Full payment for each specific stage must be received and confirmed via our secure payment link prior to the start of the scheduled appointment. We do not offer credit, and appointments will not be formally secured or conducted until payment is settled. 3.3 All-Inclusive Fees: Stage 2 fees are fully inclusive of individual interviews, informant history gathering, objective clinical testing (such as QbCheck where applicable), multidisciplinary team reviews, a dedicated feedback session, and the final comprehensive clinical report. No hidden clinical fees will be applied.

4. Cancellations, Rescheduling, and Refunds

4.1 Cancellation Notice: We require a minimum of 48 business hours' notice to cancel or reschedule any clinical appointment without penalty. Cancellations made with less than 48 business hours' notice may result in the forfeiture of the session fee. 4.2 Refund Policy:

  • Stage 1 screening fees are fully refundable if cancelled with more than 48 business hours' notice prior to the appointment.

  • Once any specific clinical stage (Stage 1 Screening or Stage 2 Full Assessment) has formally commenced—including the administration of initial questionnaires, clinician preparation, or interviews—the fees associated with that specific stage are strictly non-refundable.

5. Information Sharing, Confidentiality, and Records

5.1 Clinical Confidentiality: Your privacy is paramount. All consultations, records, and clinical reports are treated with strict professional confidentiality in accordance with the standard guidelines of our registering bodies (e.g., HCPC, BPS) and UK data protection legislation (GDPR / Data Protection Act 2018). 5.2 Limits of Confidentiality (Safeguarding): In exceptional circumstances, confidentiality may be broken if a clinician has reason to believe that you, a child, or another vulnerable individual is at immediate risk of serious harm. Wherever legally and clinically possible, we will endeavor to discuss this disclosure with you beforehand. 5.3 Third-Party Collaboration: We maintain close professional working links with trusted partner practices (such as specialist Occupational Therapy services) to offer holistic care. Your clinical information will only be shared with external professionals with your explicit, written consent.

6. Website Use & Intellectual Property

6.1 All content, layout, design, digital assets, and text displayed on the Wellcare Health website are the intellectual property of the Practice and may not be reproduced, copied, or distributed without our explicit written permission. 6.2 While we strive to ensure all information on our website is accurate, up-to-date, and clinically sound, website content is provided for general informational purposes only and does not constitute formal clinical advice or a diagnostic conclusion.

7. Governing Law

7.1 These Terms and Conditions, and any dispute or claim arising out of or in connection with them or their subject matter, shall be governed by and construed in accordance with the laws of England and Wales.

8. Amendments to Terms

8.1 Wellcare Health reserves the right to modify these Terms and Conditions at any time. Any changes will be posted directly to this page and will apply to all bookings and services initiated after the date of publication.
